Insulvora: archiving an insulation purchase enquiry

Prepared by the Insulvora Editorial Team.

An enquiry archive should explain how the final material description was reached. A folder full of attachments is less useful when nobody can tell which quotation or specification was accepted.

Keep one index

List the current enquiry, specification revision, quantity schedule, supplier quotation and clarification log. Give each file a short description and retain its issue date. Use stable item references across the documents.

Separate current and superseded information

Mark earlier quotations and drawings as superseded rather than silently overwriting them. Keep a dated note when a material description, facing, dimension, unit or quantity changes. Record who issued the change and whether it has been approved by the responsible project team.

Preserve the commercial handover

Retain the agreed supply quantity, packaging assumptions, delivery destination and timing information. Keep unresolved technical questions visible until the relevant team has reviewed them. An estimated lead time should remain identifiable as an estimate.

Close with a readable summary

A short final note should state what was agreed, which documents define it and what action follows. This makes a later reorder or clarification easier to trace.
